Scienza is where the team keeps its work: tasks, projects, and anything everyone needs to know. This page says what everything does. Keep it open next to Scienza.

The short version

All Tasks holds everything. Today holds the ones you have chosen for this morning. Today empties overnight and anything unfinished goes back to All Tasks.

There is no Save button. It saves as you type.

Ticking a task off and deleting one can both be undone.

Your tasks are private. Other people only see something when you hand it over, post it on Announcements, or add them to a project.

1 is the empty circle on the left.

  1. The circle. Click it to tick the task off.
  2. The title. Click the words to edit them.
  3. The date. Turns red when it is overdue.
  4. Urgency, impact, how long it will take, whether it repeats. All optional.
  5. ☀ Today and ↩ Not today. Moves it between All Tasks and today's list.
  6. ⌄. Opens the card for notes, dates, a project, and handing it over.

Adding a task

Type in the box at the top of Today or All Tasks and press Enter. Today's box adds it to today, the All Tasks box adds it to the main list.

Write it however you like. A rambling sentence is fine.

Tapping Ctrl twice quickly opens a capture box from anywhere in Scienza.

The box on Today has a 🙋 Just me dropdown beside it. Leave it alone and the task is yours. Pick a name instead and the task goes straight to them, on their list and in Messages, and you are told where it went.

Or type @ and a name. The first person you name does it; anyone you name after them is in the loop, so they can read and reply but it stays off their list.

As you type, a line under the box shows what it has picked out: a deadline, an urgency, how long you said it would take, a project it recognises, even with a typo. If something you meant is missing from that line, it did not read it, so you can reword before pressing Enter. If it picked up something you did not mean, press the ✕ on that bit and it is left off.

Shorthand saves typing. u1 to u3 set urgency from low to high and i1 to i3 set impact, anywhere in the sentence, and i3u3 does both. You can change the codes to your own in Settings, under Tasks.

Other than that the box only adds tasks. Dates and prompts have their own home on Calendar, and a new project on Projects.

Today

✷ Plan my day, top right, proposes a day from your own dates and priorities. Untick anything you do not want, then Pull these into Today.

To choose manually, click ☀ Today on any card in All Tasks.

✦ Smart rank reorders Today once, by deadline, importance and effort. You can still drag cards afterwards.

⇅ Sync tidies a long rambling task into a short title plus a note, using only words you actually typed. It shows you the suggestion before anything changes.

The numbers along the top (tasks today, overdue, due today, time estimated, completed this week) are clickable. Click 8 overdue and you get those eight.

Today empties overnight, on purpose, so every morning is a fresh choice rather than yesterday's leftovers. If that is not what you wanted, a bar just above the list offers ☀ Bring back yesterday for the rest of the day. It brings back only the ones still waiting: anything finished, or handed to somebody else, stays where it is. Dismiss clears the offer.

When Today is looking thin, a short list of suggestions from the pile appears underneath it, each with a line saying why it is there. Click one to add it. Hide turns the list off, and Settings turns it back on.

Below the box, Today has the same search, Filters button and sort dropdown as All Tasks. See Finding things. While a search or a filter is on, the bring-back bar and the suggestions step out of the way: they are about tasks outside the list you have narrowed to, so they come back when you clear it.

Ticking off, and undoing

Click the circle on the left of the task. An Undo button appears at the bottom of the screen for about six seconds.

After that, go to Completed and click the circle again to reopen it.

✕ deletes a task rather than completing it. Also undoable for six seconds, then it is gone.

Try itA working copy. Nothing here is real and nothing is saved.

Finding things

There are two ways, and they answer different questions.

The search box sits above the list on both Today and All Tasks, and narrows the list you are already looking at. Type words in any order, part of a word is enough, and it looks at the title, the notes, the project, the person it is with and the task's own reference code (T-0142). Put "quotation marks" round something to match that exact phrase. The line under it always tells you what it is showing, and the ✕ on that line clears everything.

Ctrl K opens the jump box instead (⌘ K on a Mac). It takes you straight to one thing, and looks at tasks, projects, announcements and resources at once. Use the search box to whittle a list down, and this to go somewhere.

The Filters button sits between the search box and the sort dropdown on both tabs, and opens a short list (⏰ Due 🔥 Urgent ↯ Impact ⚡ Quick). Click one once to show only those, twice to hide them, a third time to clear, and stack as many as you like. The panel stays open while you choose. The button itself says how many are on, so a list that looks unexpectedly short has its reason written on the row.

The dropdown beside it reorders the list: ✨ Smart rank, ⚡ Quick wins, ↯ Impact, 📅 Due date, 🗓 Scheduled, ⏱ Time to complete (shortest job first), ▣ Group by project or 🆕 Newest. On Today it also offers ☰ My order, which is the order you dragged the cards into, and is where Today starts. Pick anything else and the cards stop being draggable until you go back to it, because a list cannot be in two orders at once.

Gathering dust, near the bottom of All Tasks, collects anything you have not touched in a while.

Handing work over

It all happens on ✉ Messages. The box at the top hands work over, and the row of chips under it narrows the list: All is every conversation, unread first; To me is what people have handed you; By me is what you have sent out; In the loop is what you have only been copied into; and New is what has arrived and not been opened yet. Anything from Claude lives on its own 🤖 Claude tab, so Messages is people only. Conversations stay on Messages after you read them, and a dropdown at the top can tuck away anything that has gone quiet for a while. You can also archive a single conversation from its ⋯ menu. It moves to a fold at the bottom of the list, only for you, and a new message on it brings it back on its own. The task itself is not touched.

A project has its own conversation too. Open a project and there is a Conversation fold near the bottom, click it to read or add to it, and anyone on the project can join in. It also logs the project's own comings and goings, a member added or the status moved, alongside whatever people actually type. It shows up on ✉ Messages as a row of its own, so you do not have to open every project to see what has been said in it, and clicking the row opens that project rather than a conversation drawer. It only counts as read once you have opened the fold itself; opening the project on its own is not enough to clear it.

To give a task to someone: the 🙋 Just me dropdown beside Today's box, the ⇄ button on the card, or the box at the top of Messages. All three do the same thing. Use the Messages box when you want to send written instructions or a file with it.

To put other people in the loop: one person does the work, but anyone else can be copied into the conversation. Next to the person picker on Today and on Messages there is an + in the loop button. Pick who is doing it first, then tick anyone who should be able to follow it. They can read the conversation and reply, and the task itself never lands on their Today or their All Tasks. It shows up for them on ✉ Messages only, marked in the loop. You can add or remove people afterwards from the top of the conversation, and the same checklist is in the ⇄ sheet: whoever you tick first is the one doing it, and everyone after them is in the loop.

When someone gives you one: it is yours straight away and it is already in your list. There is no accept step. It also shows on Messages, under To me, with a red number, where you can reply, or send it back with a reason if it should not have come to you.

To chase something you handed out, or take it back, open Messages and press By me.

Projects

A named group of tasks, with people attached. Use the + next to Projects in the sidebar to make one.

The board has three columns, Not started, In progress and Done. Drag a project between them.

Open a project to add tasks, add members, set a due date, or pull all of its tasks into Today.

Three ways to look at the board: ▤ Kanban is the columns, ▦ Grid is a plain wall of cards, and ⟿ Timeline lays every project out over the calendar as bars, earliest first, with a line marking today. Days, Weeks and Months zoom in and out.

Drag a bar sideways to move a project, or drag its end to make it longer or shorter. Both dates save as you let go.

A bar drawn with a dotted outline means Scienza worked the start date out for you, from the earliest task in the project. Set a real start date in the project's ⚙ Settings and it becomes solid.

Anything with no dates at all is listed underneath the chart rather than left out of it. Click its name to open it and give it a date.

Inside a single project the same ⟿ Timeline button lays out that project's own tasks, each running from the day it is scheduled to the day it is due.

A project is private until you add members. If someone cannot see one you have made, that is why.

Calendar

Every task deadline, project deadline and reminder, in ☰ List, ▤ Week or ▦ Month. Everything / Deadlines only / Reminders only filters what shows.

A reminder is a prompt on a date rather than something to tick off. Add one for yourself or send it to a colleague, and set it to repeat if it happens regularly.

Announcements and Promotions

Announcements is company-wide news. A dot appears next to it in the sidebar when there is something new.

Clicking an emoji under a post is a quick reply. For anything longer there is a comment thread: 💬 Comment under a post opens it, and the button then says how many comments a post has. Long posts fold behind Read more, and a post can carry pictures and files: one picture opens full size on the card, several appear as thumbnails you click to enlarge, and a PDF or a spreadsheet appears as a chip with its size on it that downloads when you click it.

Some posts must be read rather than just seen. Those carry a ✓ Acknowledge button, and until you click it the sidebar shows a number next to Announcements instead of a dot. The number counts what you still owe a tick on, and visiting the tab does not clear it. Nor does commenting: disagreeing with a post is not the same as confirming you have read it.

Not every post is for everybody. A post can be addressed to a few named people, and when it is, the card says 👥 Visible to and lists them. So a narrower post is never a secret one: everyone who can read it can see exactly who else can. If a post is not addressed to you, you will not see it at all. It is withheld before it ever reaches your screen, rather than hidden once it gets there.

Posting: type in the box at the top and click Post. Type @ and a name to pull someone into a post everybody can see, 👥 Everyone to narrow the audience to particular people instead, 📌 Pin to hold it at the top, 📎 Attach for a picture, a PDF or a document (or paste a screenshot straight in), ✓ Needs acknowledging if everyone has to confirm they have read it, or set dates so it appears later and removes itself when it is out of date. Archive files a post rather than deleting it.

Promotions is what is currently on offer. Live ones sit at the top, scheduled ones are marked with their start date, and expired ones move to an archive at the bottom. Scienza works that out from the dates on each poster, so nobody has to take an old offer down.

Resources

Shared links: templates, the drive, guides. Search the box at the top, or click a collection to see just that group. Clicking a title opens the link in a new tab.

+ Add resource to add one. If you have not got the link to hand, save it anyway: it is kept and flagged NEEDS LINK rather than dropped.

Price List

Every trade price and RRP, live from jwPIM, the product database that owns them. Scienza never stores a price, works one out or remembers an old one: every time you open the tab it asks jwPIM fresh, and the timestamp at the top says exactly when that was.

It is one flat list, top to bottom, with one line per size rather than a card per product, so you can run your eye down a column of trade prices and compare. Search a name, SKU or product code, and sort by name, trade price, RRP, margin, brand, category or size.

Three filter buttons, Brand, Category and Size, each open a list you can tick more than one thing in. Click something once to keep only those lines, again to hide them, a third time to forget it. Ticking two in the same list widens (both are shown); ticking in two different lists narrows. The button says how many you have set. Unpriced also lists anything jwPIM has not yet given a price to, so a gap shows rather than hides.

⟳ Refresh asks jwPIM again without leaving the tab.

If jwPIM cannot be reached, the tab says so plainly rather than showing a stale figure. There is nothing to fix here: reopening the tab tries again on its own.

Ask Arron

Ask Arron is its own tab in the sidebar. The ✦ Arron ✦ button in the bottom right corner takes you straight there from anywhere. Ask it about what is inside Scienza: what is due this week, what did David post, catch me up, what promotions are live.

An answer arrives in parts. First a line saying how many things it found, like 8 records found inside scienza. Click it to open Found inside scienza: the actual tasks and posts that match, numbered, each one a link to the real thing. It stays closed until you want it, so a long conversation reads as a conversation rather than a wall of records. Then Arron's own written answer, which points back at those numbers, [1], [2], so you can see what it is based on. The numbers work whether or not you have opened the list. Under that is a small footnote saying what the answer cost to produce.

Down the right-hand side sits a short briefing of what needs you, some suggested questions, and a running total of what your questions have cost today. The fortnight's spending chart is tucked behind its own line and opens on a click.

What Arron can and cannot see is listed in Settings, under What Arron can see.

It only appears if AI features are switched on in Settings. They are off to start with.

Feedback

The Feedback button, top right of every page. Pick 🐞 Bug, 🧩 Issue, 💡 Idea, ❓ Question or ⋯ Other, write it, send.

It goes to the App Feedback tab, where it is given a status and worked through. You can go back and see where yours has got to. You can also paste a screenshot with Ctrl V.

Asking a question

❓ Question is for when you want to know something about Scienza rather than report a problem with it. Why do my tasks disappear from Today? What is the difference between a project and a page? Can two people work on the same task?

You do not have to come back and check for a reply. When the question is answered, it appears at the top of Today, under Replies for you, with the answer written out in full. It stays there until you press ✓ Got it, however many days that takes. It does not vanish overnight the way an unfinished task does.

Pressing ✓ Got it only clears it off Today. The answer stays on your original item in App Feedback for good, so you can always go back and read it again.

Sometimes the reply asks you for a bit more detail instead of answering outright. It looks the same, and you can write back on the item itself.

Hearing back on anything you raise

Replies for you is not only for questions. Whenever work happens on something you reported, a note is written on your item, and that note comes to the top of Today in the same way. So you find out that your bug was picked up, or planned, or finished, without going looking for it and without anyone having to tell you.

Same rules as an answer: opening the item to read the note does not clear it, only ✓ Got it does, and the note stays on the item afterwards.

Finding an old item

The five tiles at the top of App Feedback are the quick filter: click Planned to see only planned items, click it again for everything. Under them, Filters opens a small panel for narrowing further, by category, by which tab it relates to, by tag, by who raised it, or by the dates it was raised between. They all stack together, and a line under the panel tells you how many items you are looking at out of the whole log, with a ✕ clear to put everything back.

Settings

The cog at the very bottom of the sidebar. Everything in here is saved for this computer only.

On a phone the sidebar becomes a row of tabs along the bottom, with + in the middle for adding things and anything else under ⋯ More. Which four tabs appear there is set in Settings as well, and is separate from what your computer shows.

If something goes wrong

Click Undo on the message at the bottom of the screen. If it has gone, open Completed and click the task's circle again.

Today empties every morning, on purpose. Everything is safe in All Tasks. To get yesterday's list back, click ☀ Bring back yesterday in the bar just above the list. To start fresh instead, click ✷ Plan my day.

Click Undo at the bottom of the screen within about six seconds. After that it is gone, and this is the only thing in Scienza that is not reversible.

A filter or a search is on. The Filters button says how many filters are on, and the line just above the list says exactly what it is showing — the ✕ at the end of that line clears the lot. This works the same way on Today and All Tasks.

Type a couple of words from it into the search box above the list on All Tasks, in any order. Or press Ctrl K and type them there to jump straight to it. Then check Completed, in case you ticked it off, and Assigned by me, in case you handed it over.

That is normal. Scienza signs you out after a while. Use the email address and password you set up with. Forgot password? on the sign-in box sends you a reset email.

The theme has been changed. Settings, then Appearance, then Daylight for the pale one it starts on. Only the appearance changes, not your tasks.

It has been hidden. Settings, then Sidebar, and switch it back on. Everything in it is untouched.

Projects are private until you add people. Open the project and add them as members.

Check your internet connection, then refresh the page with F5. Anything already typed in will still be there. If it continues, report it with the Feedback button.

Someone has handed you a task and it is already in your list. Open Messages and press To me to read it and reply, or send it back with a reason if it should not have come to you.

Yes. Open Settings and turn on Desktop notifications, then allow them when your browser asks. You will get a pop-up when a colleague messages you or hands you work while Scienza is in the background. It is for people only: nothing from Claude and nothing for approvals. Click the pop-up to open the conversation. It is saved on that browser, so turn it on again on your laptop and your phone.

Ticking off, deleting and hiding tabs can all be reversed, and nothing you do changes anyone else's list. The practice list above is a working copy with nothing behind it.
